The Meeting & Administrative Coordinator is responsible for supporting, planning, coordinating and executing a variety of projects within the company. The individual primarily supports client service efforts, assistance and constant communication with clients and delivering excellent events. A good deal of the work in this area will be client-facing – both internally with the team and externally with our clients. The ability to communicate effectively with senior management, create order out of chaos and develop sequential systems is imperative to the success of this position.
Meeting & Administrative Coordinator duties and responsibilities include the following:
Assist in Meeting Management at the Plaza Meeting Space on the Country Club Plaza in Kansas City, MO
Assist Project Managers in being a point of contact for the Plaza Meeting Space, including answering questions, leading tours and working with our sales team to book meetings. Communicate closely with program consultants and external client contacts to ensure the strategy and goals are met for all meetings. Be present at the Plaza Meeting Space for all meetings. Assist Project Managers in all aspects of meetings at the Plaza Meeting Space such as, but not limited to: Calendar and meeting schedule management Coordinate all supplies and maintenance orders Prepare meeting materials (including digital materials) as directed by program managers/consultants including meeting outlines, name tags, participant lists surveys, etc. Support program consultants and clients while onsite Daily room set up, including seating arrangements AV set up, field questions and solve and/or coordinate with AV support Food and beverage set upWork closely with consultants to assist in the achievement of Boomer Consulting’s success for engagements, speaking and training programs.
Build and maintain client relationships and communication Utilize a project management workflow system to document and track the planning process to ensure deliverables are met. Manage all aspects of onsite and virtual engagements and trainings, including meeting logistics, agenda planning, presentation materials and client satisfaction. Manage all speaking engagements for consultants. This includes contact with associations and vendors to ensure all materials are sent in a timely manner. Book travel, calendar management and expense management for consultants. Attend virtual engagements to support consultants as needed
Various Administrative Duties:
Assist the Financial & Accounting Coordinator with remote deposits, monitor and handle mail (Including scanning, forwarding and more) Maintain client relationships (i.e., gift baskets, cards and new member boxes). Support Project Managers with webinars, meetings, events and miscellaneous tasks as needed. Attend and facilitate at internal meetings
Entry-level; Bachelor’s degree, or equivalent job experience required
Previous hospitality experience a plus
High level of proven organizational skills
Experience in a client-facing, client service position
Highly motivated to work in a collaborative environment
Proficient in technology (desktop and mobile) including cloud business applications
Able to work in a dynamic, fast-paced environment with a distributed team
Normal office hours are 8:00 am to 5:00 pm Monday through Friday, with periodic longer hours required during scheduled events.
This position is located in our Kansas City location on the Country Club Plaza.
