Kansas City, Missouri

Sandberg Phoenix’s Kansas City, Missouri law office is recruiting for a full-time office assistant with 1 year of experience or training in general and secretarial procedures in the legal field.

As an office assistant, your responsibilities will be varied and include:

Administrative Duties:

• Provide support for legal administrative assistants.
• Serve as a back-up and fill in for legal administrative assistants.
• Attend to overflow work projects.
• Greet clients and guests and offer assistance.
• Some phone calls and scheduling.
• Assist with preparation of legal documents.
• Manage inventory and place orders for office supply needs.
• Maintain conference rooms.
• Other administrative duties that may be assigned by Office Managing Partner with approval by the Human Resources.

Records Management:

• Handle file organization and overall file maintenance.
• Read filing material, verifies accuracy and performs filing functions.
• May maintain a database or electronic file data information.
• Download documents from court or government websites.
• Open and properly file incoming mail into the document management system.
• Perform closing file processes and procedures.
• Maintain an inventory of files.


Job Requirements
To be a successful office assistant, the following knowledge, skills, abilities and values are required:

• Knowledge of basic secretarial skills to include preparation of letters and legal documents.
• Knowledge of basic clerical skills to include data entry, mailings, and scheduling of appointments.
• Customer service skills.
• Ability to organize and prioritize tasks and complete them under time constraints.
• Keyboarding skills with an ability to input data with a minimum of 50 wpm.
• Basic working knowledge of Microsoft products.

EDUCATION:

• High School diploma or equivalent.
• Two year associate’s degree in legal studies or business.
