The American Association of School Personnel Administrators (AASPA) is seeking an Administrative Assistant to provide clerical support to the Executive Director, Director of Meetings and Events and to other members of the team. The person in this position will be assigned a variety of administrative and general office duties. The successful candidate will have a high level of proficiency and accuracy.
Answer all general association incoming phone calls professionally, clearly and courteously. Accurately direct calls to the appropriate person.
Take accurate, complete, and legible telephone and verbal messages.
Process daily incoming mail which includes membership forms, event registration forms, accounts payable and accounts receivable.
Update various Word and Excel documents with payment and purchase order information.
Basic filing and database management.
Emailing invitations and event confirmations.
Assist the Marketing and Membership Coordinator with monthly membership renewal process through fax and mail.
Manage Office Supply/Inventory.
Performs other related tasks and activities as assigned.
Possess a High School Diploma, Associates degree preferred. Or Undergraduate degree, or comparable professional training.
A minimum of 3 years serving in an Assistant role is strongly preferred.
Must possess experience successfully managing multiple projects simultaneously.
Experience working in cross-functional teams and collaborating with external vendors.
Effectively prioritize work and meet deadlines; organized; follow assignments through to completion; respond quickly to requests for information and assistance
Demonstrated resourcefulness in setting priorities.
Superior communication skills both oral and written.
Excellent computer skills including Microsoft Office; Word, Excel, and Google Drive are necessary. Database experience preferred.
